Rotary is a worldwide organization of business and professional leaders that provides humanitarian service, encourages high ethical standards in all vocations, and helps build goodwill and peace in the world. Approximately 1.2 million Rotarians belong to more than 34,000 Rotary clubs located in 167 countries.

The Rotary Club of Pensacola, the "Downtown" Club, was organized March 9, 1915, with 54 charter members and was the second Rotary Club in Florida. Today, the club has over 200 members.

The club actively supports worthwhile causes both here on the Gulf Coast and around the world. Here at home, we support the foundations of the University of West Florida and Pensacola State College, support local education and reading programs, and support the community in a variety of ways. Our members also volunteer in communities abroad to support education, provide clean water, combat hunger, improve health and sanitation, and eradicate polio.

After well over 100 years of service above self, the Rotary Club of Pensacola is more vital than ever.

 


 

Independent contractor opportunity

The Rotary Club of Pensacola seeks an independent contractor to provide administrative support services. This is a contract position, not employment. The contractor will manage administrative functions for the Club and its Foundation. The contractor must be self-directed, disciplined, and comfortable with technology and change.

This engagement averages 15–20 hours per week, but hours may vary based on tasks. Compensation will be based on agreed-upon terms in the service contract.

Scope of Services

The contractor will provide services including, but not limited to:

  • Financial Administration
    • Accounts payable and receivable
    • Billing and donor-restricted fund management
    • Bank reconciliations
    • Preparation of financial statements for the Club and Foundation
  • Meeting Support
    • Prepare agendas and meeting packets for weekly and board meetings
    • Coordinate meeting logistics with venues
    • Track attendance and register guests
    • Take minutes when required
  • Communications
    • Prepare and distribute weekly Club report (“Helicopter”)
    • Respond to inquiries from Club members and prospective members both in person and via the website
    • Maintain website content
  • Membership & Compliance
    • Process new member applications
    • Maintain accurate records in dacDB
    • Complete Rotary International reporting requirements
  • Special Projects
    • Provide bookkeeping for Combined Rotaries of Pensacola (CROP)
    • Support Ethics in Business luncheon
    • Plan annual Change of Command/Annual Banquet

Contractor Requirements

  • Must provide own tools and resources (computer, phone, internet service, workspace).
  • Must provide all transportation, travel to and from meetings or work locations is not reimbursable.
  • Meals provided during scheduled membership meetings will be available to the Contractor at no cost. Meals outside of these meetings are not reimbursable unless expressly approved in advance and in writing
  • Must maintain professional liability for services rendered
  • Must respond to inquiries within 24 hours
  • Must attend approximately 94% of weekly meetings (or as agreed in contract) and be responsible for own logistics to ensure timely participation

Independent Contractor Status

  • This is not an employment position; no benefits, taxes, or insurance will be provided by the Rotary Club of Pensacola.
  • The contractor is responsible for all applicable taxes and insurance.
  • The contractor retains control over how services are performed, provided deliverables meet agreed-upon standards and deadlines.

Start Date: March 2026
Compensation: $1,800 per month, invoiced monthly
